Monthly Meetings
3nd Sunday 3:45 P. M.
GUIDELINES
This council shall be comprised of the Pastor to Senior Adults or Senior Adult Coordinator, Chairman, Vice-Chairman, Secretary/Treasurer, the immediate past chairman and as many chairpersons as necessary to perform tasks relevant to the activities of this council. Additional persons to serve as Members at Large according to conditions set forth below shall be no less than 4 and no more than twelve.
This council will meet on the 3rd Sunday of each month at 3:45 P.M. unless otherwise notified. Meetings will be held at Calvary in Savannah. Attendance at these meetings shall be open to all members serving on the council and any others of the Senior Adult community who would have concerns or interest that should be shared with this council. Staff members are welcomed.
It will be the responsibility of the Chairman to appoint a nominating committee of 3 -5 members to select individuals to fill positions of Chairman, Vice-Chairman and Secretary/Treasurer for the upcoming year. This slate will be presented to the council at the October meeting. If approved the nominating committee will work with the incoming Chairman to appoint committee chairpersons. Chairpersons will be recognized as officers of the Council. It is suggested that no one individual hold more than one Chairmanship during the same year. A complete slate will be announced at the December meeting. Term of office shall begin on Jan. lst.
At-Large members of the Council shall serve on a rotating basis for terms of 3 years. Council members serving in specific positions will not be subject to this restriction. If an At-Large Member is requested to chair a Committee, that year is not attributed to their rotation. Following their term as an officer that member may return to the At-Large position to fulfill their three year term.
The immediate past Chairman shall remain on the Council as an advisor and officer the first year and/or is considered an ex-officio member the second year.
The total number of Council Members shall not exceed 25. This number may be lower and will include all officers, committee chairman, staff and at large members. If a member cannot complete their term of office it will be the decision of the Chairman, Vice-Chairman and Secretary to fill that position or to leave it open. Chairpersons will not assume positions as At-Large members following their term unless specifically asked to do so. However, they may return to an unexpired At-Large position as stated above.
Duties:
CHAIRMAN
-Facilitate the monthly meetings.
-Communicate with the chairpersons in order to assist them in meeting the needs of their area.
-Assist the ministers in providing the best that this council can do for the Senior Adults of Calvary in Savannah.
VICE CHAIRMAN
-Be ready to assist the Chairman in carrying out the plans of this council.
-Fill in with any of the officers and chairpersons that need assisting.
SECRETARY/TREASURER
-Notify council members via email or telephone of meetings
-Keep accurate records of all of the meetings of this council
-Mail minutes of previous meeting in advance when possible.
-Keep an up to date list of names and addresses of the council
-Keep an accurate account of any monies belonging to the council that are in the hands of the Treasurer.
-Make a report of receipts and disbursement at monthly meeting
-Be prepared to give a quarterly report of church budget funds as related to Senior Adult Ministry
COMMITTEE RESPONSIBILITIES
All members of the council will work together and assist one another in every area. All council members are encouraged to support all the activities and events sponsored by the Senior Adult Ministry as much as possible. The following responsibilities are to be organized by the chairperson of each committee respectively.
HOSPITALITY:
Have the responsibility of organizing the gatherings and church social events of Senior Adult Ministry. This should include menus, themes (coordinated with Crafts Chm) location and programs (coordinated with Program Chm), tickets and announcements (coordinate with Publicity). This will require working with the other committee chm. that will assist in these affairs.
Secure all items associated with the meal (ie, paper goods, caterer and/or cookers and servers and clean up crew).
Be responsible for placing events on church calendar and securing the locations for events. Be responsible for securing special items and set ups.
TRIP & TRAVEL
Go, Go and Go.
Coordinate within the council to plan a yearly schedule of trips that will be of interest to the Senior Adults. These may consist of day outings, over nighters and some longer. Trips may be of an entertaining or spiritual nature.
Make advance arrangements for transportation, meals and lodging.
Be responsible for taking reservations when needed and deposits.
Be responsible for any “special” needs during trips.
BEREAVEMENT
Contact bereaved families to identify needs.
Contact Sunday School outreach person and coordinate efforts.
Organize food to be served or taken to family.
BIBLE STUDY
Attend the Wednesday Morning Bible Study and make a report to the Council relative to its progress. Announce at the Wednesday Bible Study any pending activities relative to Senior Adults.
CRAFTS
Prepare decorations as needed for Senior Adult activities.
Coordinate with other chairpersons for decorations that may be needed for Senior Adult activities and/or other church functions and for the pleasing appearance of our church.
HOSPITAL & SHUT IN
Serve as outreach person to minister to families of hospital patients that are unchurched or from out of town.
PROGRAM
To arrange entertainment and/or special features for the Senior Adult Socials. Special attention shall be given to the annual Senior Adult Sunday, Christmas Banquet and Valentine Luncheon. Discretion will be made at other social functions depending on type of social and location. The program chairman will be responsible for arranging for speaker system, keyboards and any other special equipment needed. Program chairman will inform Publicity Chairman in advance if printed programs are needed for an event. Payment arrangements for any guest entertainment will be handled by the Program Chairman.
HELPING HANDS
To assist senior adult church members with small tasks that are difficult to perform (i.e. changing light bulbs, replacing batteries, repairing door locks). The chairman of this committee will select willing individuals within the congregation that have expertise in various fields (plumbing, electrical, etc) to assist him in specific needs. Request for assistance will be made through the church office. These tasks are to be minimal and will be undertaken at the discretion of the committee chairman.
PUBLICITY
Produce an annual publication that will provide information concerning the purpose and activities of the Senior Adult Ministry. This to be sent to all senior adults in the church and given to senior adult visitors.
Produce a quarterly publication that will provide information to all Senior Adults concerning what Senior Adults are doing and happenings of interest in our church, as well as upcoming events.
Supply the church office with input for the Senior Adult section of the church web site.
Keep the Senior Adult bulletin board information current – give special attention that the board is “eye catching,” neat and attractive.
Have seasonal activities posted.
AT LARGE MEMBERS
Assist all chairpersons in their areas.
Minister to the Senior Adults of our church
Represent the other Senior adults during the council meetings, being their voice.
